The basics

Most chatbots are scripted decision trees. They follow a fixed path and break the moment a customer says something unexpected. An AI employee from Kaivix Labs is trained on your specific products, policies, tone, and real customer scenarios. It understands free-form input, handles objections naturally, and carries multi-turn conversations without losing context. The decision logic is also deterministic Python — not random AI guessing — so it behaves consistently every time.

Pricing and packages
Every project is scoped individually, but the structure is consistent: a one-time setup fee to build and deploy the system, plus a small monthly retainer that covers hosting, monitoring, updates, and ongoing support. The exact numbers depend on what you need automated and how complex the integrations are. We don't publish fixed prices because every system is custom-built — the most useful next step is a free 30-minute call where we'll give you a specific, no-obligation quote. We offer three tiers: Starter (one workflow — best for fixing one painful process first), Growth (2–3 integrated workflows — for teams that want support, scheduling, and lead handling working together), and Custom (built entirely around your business — for complex, multi-channel, or industry-specific needs). All include post-launch support.
The build is a one-time project fee. Ongoing support and maintenance can be arranged as a monthly retainer if needed — particularly for Custom builds. This covers adjustments, monitoring, and adding new knowledge or rules as your business changes. We'll discuss what makes sense for your situation during the discovery call.
Process and timeline
A standard AI employee or automation workflow takes 2 to 4 weeks from discovery call to live deployment. Multi-workflow Growth builds take 4 to 6 weeks. Custom scope projects vary. We'll give you a specific timeline after the discovery call, and we stick to it.
It's a 30-minute call with no sales pressure. We'll understand your current workflow, identify what's costing your team the most time, and assess whether an AI employee is the right fix. Less than you'd expect. We do the technical heavy lifting. We'll need you to share information about your business — your services, policies, common customer questions, and how you currently handle things. That usually takes one or two sessions. After that, we build, test, and deploy. You review and approve before anything goes live.
We test through real customer scenarios before deployment — including edge cases, unusual phrasings, escalation triggers, and failure conditions. You'll see the system in action before it's live and can request any changes. Nothing launches until you're satisfied with how it handles real situations.
Integrations and tools
Yes. Common integrations include Google Calendar, email platforms, CRM systems (HubSpot, Zoho, etc.), Calendly, and scheduling tools. If you use a specific platform, mention it in the discovery call and we'll confirm whether it's supported and how it would connect.
Currently: web chat widget and email. Depending on your package and requirements, we can also support SMS. Voice is not currently available. We'll confirm which channels make sense for your business during the discovery call.
Yes. All conversations are logged, and the system can sync lead information and customer data to your CRM or internal database. This means your team always has context on a customer without needing to re-read a chat thread. Specific CRM sync behaviour is configured per deployment.
Trust, data, and legitimacy
All data is handled with full confidentiality. We don't sell, share, or use your customer data for any purpose other than operating your AI employee. Data storage follows our Privacy Policy. If you have specific compliance requirements (HIPAA, GDPR, etc.), discuss them with us during onboarding — we'll design accordingly.
Kaivix Labs is based in the United States. We serve clients globally — primarily across North America, the UK, and the Middle East — and work remotely across time zones. All communication is in English and we're available via email and Calendly.
We design AI employees with deterministic logic — meaning the AI only generates natural language, while all decisions (what to say, when to escalate, what information to provide) are controlled by Python rules your business defines. This minimises the risk of incorrect or hallucinated responses. We also test extensively before deployment. If an incorrect response occurs post-launch, it gets corrected in the next update cycle.
Escalation triggers are configured per business — common triggers include: payment disputes, medical emergencies, complaints that require empathy beyond standard responses, questions outside the knowledge base, or any situation where the customer explicitly requests a human. Escalations come with a full conversation summary so your team doesn't have to ask the customer to repeat themselves.
We don't make blanket guarantees because every business and workflow is different. What we do guarantee is that the system will be tested until it performs correctly before going live, and that we'll iterate with you if something isn't working. Two of our three current client deployments (Aion Lab and Atom Medicals) produced measurable results within the first 30 days; our third, Lumina Shades, is live but hasn't reported results yet. We'll be transparent about what's realistic for your specific use case.
